How to build a property prospecting list a broker can actually work

Keep properties, owner entities, and people connected without treating every parcel as a separate prospect. Includes a copyable list structure.

A workable broker prospecting list needs a property, a reason to pursue it, a supported owner record, and a next action. A phone number or a parcel that meets your filters still needs a clear reason for an owner conversation.

Start with a small area and a specific assignment. For example, an industrial land search might have a defined geography and a required site size, with truck access and utilities still to be checked. Keep the client's requirements separate from the evidence you have collected. A search result is a candidate, not a verified match.

Give the property its own record

Use a stable internal property ID and retain the county and source parcel identifier. Keep the original identifier as text so leading zeros survive an export. Store the address as a search aid rather than the sole identifier.

For an assemblage, relate each parcel to one opportunity. For a portfolio, keep each property visible even when the owner is shared. This lets a broker record different decisions for different sites without duplicating the same person throughout the CRM.

County records have different access rules. Sacramento County, for example, provides parcel information online but directs people to its office for owner information. A blank owner field in a public viewer does not establish that the owner is unknowable. Check the county's stated access process. Sacramento County assessor records

Separate the entity from the person

An owner entity, a mailing recipient, a registered agent, and a person who can discuss a sale can be different records. Label the relationship you have evidence for.

In California, the Secretary of State describes an agent for service of process as the recipient of legal documents for the entity. That role alone does not establish that the person negotiates property sales. California business-search definitions

When a contact source suggests a person or number, preserve the source and mark the relationship as unconfirmed until checked. Do not replace a recorded entity name with a guessed individual owner.

A simple structure for a spreadsheet or CRM

These fields are an editorial template, not a required software schema:

Property: internal ID; county; parcel ID; address; source URL; checked date
Opportunity: property IDs; assignment; fit reason; unresolved question; stage
Entity: exact name; jurisdiction; entity number; property relationship; source
Contact: name; stated role; entity relationship; source; verification status
Follow-up: responsible broker; last contact; next action; due date; contact restrictions

Keep a short, specific fit reason: “Inside the client's search area; access still unresolved” is more useful than “good lead.” A reason can change. Preserve the earlier decision note if it explains why a property was passed over and later reconsidered.

What duplicate cleanup looks like

Consider a hypothetical export with 40 parcel rows. Ten rows belong to one candidate assemblage, and five other parcels share an owner. Forty rows do not necessarily mean 40 separate owner approaches.

Group the assemblage under one opportunity while retaining all ten parcel IDs. Link the five separately marketable properties to their shared owner entity. Before contacting anyone, check whether another broker on the team already has a conversation attached to that entity or opportunity.

Deduplication should preserve distinct properties and conversations. Matching a mailing address is a reason to investigate a relationship; it is not sufficient proof of common ownership.

Test the list with another broker

Give a colleague five records and ask them to identify the right property, explain the fit, find the ownership evidence, and state the next action. Note where they need an explanation from you. Add the missing context to the record.

For initial sourcing, use the off-market development land workflow. For each site that moves forward, carry its unresolved questions into the desktop screening checklist.
